This includes support in preparing employee and internship contracts and getting the required documentation on file, liaising with the Finance team to insure funds availability, liaising with external providers related to payroll, taxes, insurances, travel and overall administration. Carrying out annuals reviews of middle management with a view to developing managerial skills and ensuring succession planning. Conducting exit interviews for separating staff and assists in final arrangements.
  • HR Processes & Policies - supporting in strengthening the effectiveness of current HR processes and procedures such as Recruitment, Performance and Induction and support the Head of HR & Administration with regular review and related HR internal communications and implementation.
  • Recruitment support - supporting recruitment processes for staff, interns and consultants with hiring managers: preparing and posting job advertisements, prescreening applications, arranging interviews, participating in selection processes where applicable, liaising with candidates and administering pre-employment tests as required, conducting reference checks including administering the Misconduct Disclosure Scheme to ensure alignment with WHO commitments towards the framework, supporting selection and validation processes to final hiring stage, including liaison with Universities, recruitment agencies, and ensure all necessary hiring documentation, employment agreements, and essential policies are signed at point of hire. Welcome new arrivals and organize introductions to the WHO and its guidelines, as well as induction programs. Serve as HR contact for employees and provide support and guidance on HR policies.
  • HR reporting monitoring - Building and updating specific HR data sets, reports and checklists. This includes support in accountability mechanisms such as support to Finance, PIIRS, PSHEA/CP and overall Safeguarding among others. Working closely with the Safeguarding Coordinator to ensure that staff all sign the appropriate policies. Ensuring all Secretariat employees have undertaken essential trainings, including safeguarding, gender, anti-fraud and corruption, GDPR, safety and security, and code of conduct. Undertaking research on a range of HR related issues and assist in the preparation of notes and reports.
  • Consultant agreements - supporting the hiring of individual consultants: checking references, ensuring all appropriate paperwork is completed by hiring manager with relevant signatures.
  • Payroll - ensuring that payroll has the appropriate information and instructions each month to process employee salaries through a variety of external payroll providers.
  • Travel - Coordinating deployments, requesting and verifying booked itineraries and issued Travel Requests to ensure compliance with travel policy, relevant entitlements, applicable deals and best travel practices. Ensuring effective and timely action and follow-up on issuance, extension and renewal of UNCs when requested by consultants. Processing visa support letters and following-up requests for visa for consultants.
